How to Create and Send Receipts on WhatsApp

Once a customer pays, they want confirmation, and they want it in the same place the conversation already happened: WhatsApp. Here's how to get a receipt to them there, for both an invoice that's just been paid and a cash sale that never had one.
From a paid invoice
The most common case: an invoice was sent, the customer paid, and now you need to confirm it. Marking the invoice as paid generates a matching receipt automatically, carrying over the same customer, items, and amount, so there's no re-typing and no risk of the receipt not matching what was invoiced.
From a walk-in or cash sale
For a sale that never had an invoice, for example a walk-in customer paying on the spot, create a standalone receipt directly instead. It covers the same ground: itemized products or services, the amount paid, and the date, without needing an invoice as a starting point.
Sending it on WhatsApp
- Create the receipt, either automatically from a paid invoice or directly for a cash sale.
- Use Share on WhatsApp to send the receipt's link directly into a chat, or
- Export it as an image and share it from your phone's share sheet, useful when the customer wants something they can save straight to their gallery as proof of payment.
Both options come straight from the receipt itself, so there's nothing to reformat or screenshot separately for WhatsApp.
