Invoice vs. Receipt vs. Quotation: What's the Difference?
Published 20 August 2026
A quotation is sent before a job starts to agree on a price. An invoice is sent to request payment for work that has been agreed or delivered. A receipt is sent after payment to confirm it was received. Each document belongs to a different point in the same transaction.
Quotation: before the work begins
A quotation (sometimes called a quote or estimate) tells a customer what a job or order will cost before either side commits. It typically lists the items or services, the price for each, and how long the price is valid for. Nothing has been agreed to yet — the customer can accept, reject, or ask for changes.
Invoice: requesting payment
An invoice is issued once work is agreed, delivered, or in progress, and it asks the customer to pay. It lists what was supplied, the amount owed, and usually a due date. An invoice can be created from scratch, or, if a quotation was already sent and accepted, straight from that quotation so the client and line items don't need to be re-entered.
Receipt: confirming payment was received
A receipt is proof that a payment has actually been made. It's issued after money changes hands, not before, and it usually references the invoice it relates to. In EaseFlow, recording a payment against an invoice is what makes it possible to issue a matching receipt in the same click, carrying over the client, items, and amount paid so there's nothing to retype.
How the three fit together
- A quotation is accepted → it converts into an invoice.
- The invoice is sent to the customer and a payment is recorded against it.
- A receipt is issued once that payment is confirmed.
Not every transaction needs all three — a straightforward sale might only need an invoice and a receipt, and a walk-in customer paying on the spot might only need a receipt. The point of keeping them separate is that each one answers a different question: what will this cost, what do you owe, and what have you already paid.
Where this fits in EaseFlow
EaseFlow supports all three document types under one customer and product list, so details don't need to be re-entered as a transaction moves from quote to invoice to receipt. Read more about creating quotations, invoicing customers, or issuing receipts.
